Administrative Operations Specialist
Under
general supervision, the Administrative Operations Specialist will be
responsible for a variety of fiscal and administrative support functions, with
complex business functions. Fiscal
functions may include accounting and budget monitoring/auditing. Administrative functions may include human
resources support, inventory control, records management, training, and related
duties. Typical job duties may include
the following:
· Prepares
and disperses financial reports using Microsoft Word, Excel and PeopleSoft Financial
and HCM systems.
· Records
financial activity in accounting systems/sub-systems.
· Provides
technical assistance and support to internal and external customers regarding
administrative issues.
· Performs
complex operational functions, such as inventory control, audits, records, and
planning/management analysis.
· Serves
as a liaison with other parties, such as vendors, internal/external auditors,
management staff, and/or other agencies.
· Participates
in special projects and development of analyses as directed by the supervisor.
· Devises
and administers training programs and presentations.
· Coordinates
with other departments/individuals to ensure records are accurate and
comprehensive.
· Prepares
files and records for audit.
· Performs
physical and electronic records management.
· Ensures
document destruction in accordance with State Records Retention Schedule.
· Audits
data and system entries for accuracy.
· Maintains
departmental website and information postings.
· Works
effectively in a team environment, demonstrating a positive, productive
approach to accomplishing goals.
· Serves
on various committees.
Minimum Qualifications
· Associate’s degree *and* Three (3) years of related
work experience
· Note: Experience may substitute for the degree on a
year-for-year basis.
Preferred Qualifications
· Bachelor's
degree in Business, Management, or a related field from an accredited college
or university.
· Experience
with PeopleSoft Financials, PeopleSoft HRMS, Concur Travel, and BANNER Student
Information System is strongly desired.
· Knowledge
of Microsoft Office Suite, to include a strong skill set with Microsoft Word
and Microsoft Excel strongly preferred.
· Excellent
written and verbal communication skills.
Physical Demands
The
employee occasionally lifts or moves objects of a light to medium weight, and
must be able to lift up to 25 pounds. Work is typically performed in an office
environment with intermittent sitting, standing, or walking in various
settings. Full range of hand and finger
motion may be utilized for data entry purposes.

Salary
is commensurate with education and work experience. Benefits include paid state holidays, annual
