Under the general supervision of the CCR&R management, performs advanced and diversified clerical duties requiring broad and comprehensive experience, skill and knowledge of organization policies and procedures in support of the agency. This individual completes administrative tasks and special projects as requested, including but not limited to the areas of personnel, budgeting and management of records, and purchasing and accounting tasks.

 

This is a grant funded position.

 

Essential Responsibilities / Accountabilities:

  • Provides secretarial and clerical support to the unit;
  • Serves as liaison between the agency and clients; determines the nature of client’s business and provides appropriate information and assistance. Refers to appropriate personnel when necessary;
  • Proofreads and edits documents for content, context, accuracy and consistency;
  • Copies, distributes, and files appropriate documents;
  • Utilizes a variety of software to produce documents, spreadsheets, visual aids and promotional materials.

  • Manages databases and reports to support the needs of the agency;

  • Maintains filing and record-keeping systems;

  • Conducts research using a variety of resources to generate reports, solve departmental issues, find new technology solutions;

  • Monitors use of and maintains supplies, equipment and/or facilities for agency;

  • Maintains social media and agency website;

  • Markets CCR&R services;

  • Develops quarterly newsletter to send to early childhood professionals;

  • Plans and coordinates events for agency and community partners (DECAL, food programs, etc.);

  • Attends seminars, conferences, job-related training, and/or other staff development training programs.

  • Reads pertinent work-related information and materials (e.g., policy and procedure revisions) as assigned.

  • May serve on committees and task forces.

 

Minimum Qualifications:
  • Must have obtained Associate's degree AND at least one (1) years' experience, OR the level of high school graduate or equivalent AND have at least two (2) years of experience performing advanced level administrative support to an agency including experience in personnel, accounting and/or purchasing. 
  • Must possess excellent knowledge and experience in the use of the Internet, Microsoft Outlook, Word, Excel, PowerPoint, Publisher and Access. NOTE: A competency test may be given to all applicants who are interviewed.
  • Must be a quick learner, have high quality project management skills, and be a self-starter.
  • Must be available to work 8 a.m. – 5 p.m. Monday-Friday.

 

Preferred Qualifications:
  • Preference will be given to applicants who have completed a formal training program from an accredited institution in the area of Business or Office Management or a related field AND have at least two (2) years of experience in accounting, budgets and/or purchasing; experience working with families and/or knowledge and understanding of child care regulations and the child care industry.

Salary/Benefits

Target salary is $32,506.80 and is commensurate with education and work experience. Benefits include paid state holidays, annual and sick leave, and the State of Georgia Flexible Benefits package.

Physical Demands

The employee occasionally lifts or moves objects of a light to medium weight. Work is typically performed in varying office environment with intermittent sitting, standing, or walking in various settings. The employee must be able to lift up to 25 pounds. Full range of hand and finger motion is required for data entry purposes.
